Breakdown per Account Report- General

The General tab will give a general breakdown of General Ledger accounts.

How to view the General Breakdown per Account Report

To view the general breakdown per account report you go to Accounts->Financial Reports->Breakdown per Account Report->General and a screen will appear looking as follows:

• From Date:  Enter the date on which the breakdown per accounts report to be generated will start e.g. "01/01/2021" and in the till Date option, enter the date on which the breakdown per accounts report is to stop e.g. "05/07/2021" as shown in the screen above.
• From GL Account:  Select the account number from which the breakdown per accounts report will start, e.g., "121000" and in the till GL account option, enter the account on which the breakdown per accounts report is to stop e.g., "121000". When the Check for all options is selected, then a Breakdown per Accounts for all General Ledger Accounts will be generated.
• From Product: Select the Product from which the breakdown per accounts report will start and in the Till Product option, enter the product on which the breakdown per accounts report is to stop or tick the Check for all options to include all products.
• From Donor:  Select the Donor from which the breakdown per accounts report will start and in the Till Donor option, enter the donor on which the breakdown per accounts report is to stop or you can tick the Check for all options option to include all donors.
• From Branch:  From the drop down box, select a branch from which the breakdown per accounts report will start and in the till branch enter the date on which the report will stop.  When the Check for all option is selected, the breakdown per accounts report will be generated for all branches, this applies to corporate databases only.
• From Cost Centre:  From the drop down box, select the cost centre from which to generate Breakdown per Accounts report and in the till Cost Centre, enter the date on which the report will stop. When the Check for all options is selected, then Breakdown per Accounts report will be generated for all Cost Centres.
• From Debtor:  From the drop down box, select the Debtor from which to generate Breakdown per Accounts report and in the till Debtor Centre, enter the date on which the report will stop. When the Check for all options is selected, then Breakdown per Accounts report will be generated for all Debtors.
• From Creditor:  From the drop down box, select the Creditor from which to generate Breakdown per Accounts report and in the till Creditor, enter the date on which the report will stop. When the Check for all options is selected, then Breakdown per Accounts report will be generated for all Creditors.

• Grouping/Order:  Select the order by which the breakdown per accounts report will be grouped. This can be grouped by Date, Product, Donor, etc.
• Transaction Type:  You can have a breakdown per account report for a range or a specific type of transactions. From the drop down box select the transaction type from which the report should start and in the to Transaction Type drop down, select the transaction type for which the breakdown per accounts report will stop. If you tick the Check for all options then Breakdown per Accounts report will be generated for all transaction types. .
• From User:  You can have a breakdown per account report for a range or a specific User. From the drop down box select the User from whom the report should start and in the Till User Type drop down, select the User for whom the breakdown per accounts report will stop. If you tick the Check for all options then the report will be generated for all Users.

Select any other required additional options or use the default selections. For additional information on these options you can refer to the Accounting Reports Formats.

Click the OK button to view the Breakdown per Accounts report which will look as follows:

Note that this report shows all the transactions that are appearing on each GL account.

Close the report to exit.
